How do I stop typing the same data into Excel and my CRM by hand?
Short answer
First check whether your tools already connect to each other through built-in integrations. If not, no-code automation tools such as Zapier or Make can move data between apps when a form is submitted or an email arrives. For scanned invoices, receipts and cards, OCR or AI document reading extracts the fields. Custom automation is worth it when volumes are high or your software has no ready connector.

Option 1: built-in integrations
Many website builders, form tools, CRMs and accounting packages already connect to each other. Look in each tool's settings for an Integrations, Apps or Marketplace section. A direct integration is usually the most reliable option because the vendors maintain it.
Option 2: no-code automation tools
Tools such as Zapier, Make and n8n link apps with simple rules: when a new form entry, email or order arrives, add a row to Google Sheets or create a contact in the CRM. They work well for clean, structured data. Costs usually grow with the number of tasks run each month, so estimate your volume before committing.
- 1Write down the trigger (for example, a new enquiry form submission).
- 2Write down where the data must end up and which fields map to which.
- 3Build the automation and test it with a few real entries.
- 4Add a check for duplicates and an alert if a run fails.
Option 3: OCR and AI document reading
When data arrives as PDFs, photos or paper, OCR (optical character recognition) turns the image into text, and AI can pick out the right fields, such as invoice number, GST number, amount and date, even when every supplier uses a different layout. Have a person review low-confidence fields, especially amounts and tax details.
Option 4: custom automation
A custom integration makes sense when your software has no ready connector (common with older desktop or in-house systems), when monthly volumes make per-task pricing expensive, or when the rules are too complex for a no-code tool. A developer can connect systems through their APIs or databases and add validation, logging and error alerts so nothing is lost silently.
When to get help
If the data comes from documents in many formats, the software has no integration, or a no-code setup keeps breaking, it is worth having a developer look at it. DCPL Technology builds workflow automation and AI document processing connected to the tools a team already uses, and its MyBizScan app already turns visiting cards into CRM contacts. Pricing starts from USD 12 per hour, or a fixed quote after scoping.
